The role

Apprenticeship – 2 Years

The Project Officer supports projects and programmes within Technology & Digital Service, providing support to planning and scheduling of projects and programmes.

The post holder will attend meetings, capture minutes and actions, and provide administrative support to the Technology and Digital Service leadership team, as required.

They will be required to manage projects of increasing scope and complexity as they progress through their apprenticeships.

In addition, they will undertake a development programme leading to a nationally recognised project management qualification as part of an apprenticeship.

This includes attending college one day a week and work based learning and assessments.

As part of this, they will be required to actively participate in their own development plan under the supervision of the line manager and the assessor from the college gaining experience.

PURPOSE OF THE JOB

The Project Officer supports projects and programmes within Technology & Digital Service, providing support to planning and scheduling of projects and programmes. The post holder will attend meetings, capture minutes and actions, and provide administrative support to the Technology and Digital Service leadership team, as required. They will be required to manage projects of increasing scope and complexity as they progress through their apprenticeships. PRINCIPAL ACCOUNTABILITIES

Responsibilities

  1. Working closely with the business on cross-council transformation projects.
  2. Providing support to projects and services across the council around systems thinking and business process re-engineering.
  3. Supporting the prioritisation and scheduling of workload, track and manage deadlines, chase up and report progress of actions agreed in project and service review programmes.
  4. Setting up project files, compiling and distributing reports.
  5. Providing administrative services to project boards, project assurance teams, quality review meetings and supporting the service leadership team, as required.
  6. Providing guidance and support on project management software, procedures, processes, tools and techniques to enable the delivery of transformation across our services.
  7. Supporting quality assurance reviews across project and programmes across Technology and Digital services.
  8. Setting up project and governance meetings as directed.
  9. Meeting the evolving requirements of the council in terms of development, future capacity and making efficiency savings.
  10. Researching a range of subjects and projects as directed, analyse results and prepare briefing notes, papers, reports etc.
  11. Researching and providing insight on developments on national and international service delivery and supporting Southwark in adopting these approaches as they suit the organisation.
  12. Engage with a variety of internal and external stakeholders at all levels.
  13. Provide excellent customer service to all staff, managers and partners ensuring that all necessary advice and support is provided.

JOB CONTEXT Following a restructure in February 2021, the Technology and Digital Service is made up of three core elements: Applications, Digital Delivery and Technology Transformation.

There is 2 roles available in Digital Delivery, and 1 in Technology Transformation, but may work across projects in any area, and will work across the organisation on a range of projects. With the introduction of a new strategy, and recovery work following COVID-19, the role will be vital in our delivery of fast paced digital change.

Grade/Conditions of Service The employment is subject to a probationary period of twenty-six weeks from your start date of employment with Southwark Council, during which time you will be required to demonstrate to the council’s satisfaction your suitability for the position in which you are employed
